1. Who we are

Volleyball Empire Volleyball Training, Dubai, United Arab Emirates (“Volleyball Empire”, “we”, “us”). Parents/guardians may contact Volleyball Empire through its published contact channels regarding privacy or data requests.

2. Who this policy covers

This policy applies to information relating to parents/legal guardians, youth players, prospective players, current players and emergency contacts where provided.

3. Information we may collect

We may collect:

  • parent/guardian full name, relationship to player, WhatsApp number, UAE call number and email;
  • player full name, date of birth, gender and optional school;
  • selected program/group, recurring training days, registration and attendance records;
  • optional secondary emergency-contact details;
  • limited health/safety information disclosed because it may affect safe participation;
  • payment status, bank-transfer confirmation and related administrative/accounting records;
  • communications with Volleyball Empire;
  • photographs, video and audio captured during academy activities;
  • technical/form records reasonably required to operate registration, maintain records and protect submissions.

We aim to collect only information reasonably necessary for the relevant academy purpose.

4. Why we process information

We may process information to:

  • process registration and enrollment;
  • place and administer players within the appropriate training environment;
  • manage schedules, attendance, academy apparel and payments;
  • communicate with parents/guardians about academy operations and the player’s participation;
  • support participant safety and emergency response;
  • maintain accounting, business, dispute and compliance records;
  • support coaching analysis, player-development tracking and academy operations;
  • where accepted/permitted, create and use academy media for website, social-media and promotional purposes;
  • operate forms, storage, communications and other technology used by Volleyball Empire.

5. Children

Registration for a minor must be completed or authorised by a parent/legal guardian. The youth Registration flow is not designed for a minor to independently enter into the enrollment agreement.

For younger children, Volleyball Empire applies parental-consent and data-minimisation controls and does not use child personal data for targeted-advertising audience profiling.

6. Health and safety information

We ask only for health/safety information reasonably relevant to safe participation. Parents/guardians should not submit unrelated medical history. Where a condition, allergy, injury or limitation may affect safe participation, the parent/guardian is responsible for informing Volleyball Empire before training.

7. Photography, video and AI-assisted processing

Volleyball Empire regularly photographs and films training sessions, matches and academy activities to document academy activities, the training environment and player development.

Photos/videos may be used for coaching, operational, website, social-media and promotional purposes as described during Registration and subject to applicable law.

Photos/videos may also be processed using AI-assisted tools for coaching analysis, clip creation, player-development tracking, academy content production and closely related academy purposes described in this policy. Volleyball Empire does not authorise vague unrelated “any AI purpose” use under this clause.

If a parent/guardian has a specific restriction or concern regarding photography or video, Volleyball Empire must be notified in writing before Registration is submitted.

Where processing relies on consent, consent may later be withdrawn in writing. Withdrawal applies to future processing/use from the point reasonably practicable and does not affect the lawfulness of processing completed before withdrawal. Removal of already-published or third-party-shared material may not always be fully practicable.

8. Service providers / processors

Volleyball Empire may use third-party service providers for forms, spreadsheets/storage, website hosting, email, communications, payment administration, analytics and video/AI processing.

Depending on the tools actually in use, these providers may include Google Forms, Google Sheets/Google Workspace, WhatsApp/Meta, website-hosting providers and specialist media/AI services. The operational list may change as academy systems change.

We do not sell personal data to advertisers.

9. Sharing and international processing

Information may be shared with service providers only as reasonably necessary to perform the relevant academy/technology function, or where disclosure is required or permitted by law.

Some providers may process/store information outside the UAE. Volleyball Empire will use such providers subject to applicable cross-border requirements and the provider safeguards relevant to the service.

10. Retention

Volleyball Empire retains personal information only for as long as reasonably necessary for the purpose for which it was collected, for the active academy relationship, and for legitimate accounting, legal, dispute, safety or compliance requirements. When information is no longer required, it should be deleted or anonymised where reasonably practicable.

Operational retention baseline:

  • accounting/payment/tax records: at least 7 years where required for UAE Corporate Tax/supporting records; VAT records are retained for at least the applicable statutory minimum;
  • registration/enrollment and attendance records: active relationship plus the period reasonably required for service history, disputes and academy administration; scheduled review at 5 years after the relationship ends;
  • health/safety disclosures: active participation plus the period reasonably required for safety/incident/dispute purposes; review within 2 years after participation ends where no incident/claim requires longer retention;
  • emergency-contact information: while needed for active participation, then delete/anonymise normally within 12 months unless another recordkeeping reason applies;
  • unenrolled lead/inquiry records: review after 24 months without meaningful contact and delete/anonymise unless a legitimate reason requires retention;
  • ordinary operational WhatsApp/email correspondence: review after 3 years following the relationship where no dispute/compliance reason requires longer retention;
  • media selected for published academy content/archive: retained while there is an appropriate lawful basis and academy purpose; future use stops where a valid withdrawal applies;
  • raw/duplicate media not selected for an ongoing purpose: periodic review, with a target review/deletion cycle within 24 months;
  • incident/legal/dispute records: retained for the period reasonably required by the matter and applicable law.

11. Security

Volleyball Empire uses reasonable technical and organisational measures and limits access according to operational need. No electronic system can be guaranteed absolutely secure.

12. Your rights

Subject to applicable UAE law, a data subject/parent or guardian may contact Volleyball Empire to request information about processing, access, correction, deletion where applicable, restriction/objection where applicable, or withdrawal of consent for future processing where consent is the basis.

A withdrawal request does not automatically invalidate processing lawfully completed before withdrawal.

13. Service communications vs marketing

Operational messages necessary for registration, payment, schedule, attendance, safety and academy administration are service communications.

If Volleyball Empire later introduces separate direct-marketing messaging beyond normal academy/service administration, separate optional consent/opt-out controls should be used where required. Promotional messaging consent must not be silently bundled into necessary service communication.

14. Updates

This policy may be updated when academy services, providers or applicable requirements change. The current version will be published on the Volleyball Empire website.
